Online Attendance Policy

Metropolis Training Institute believes that regular attendance is essential to getting the most out of its training programmes.

This policy aims to set out the procedures and controls governing electronic attendance, both synchronous and asynchronous, and to affirm that attendance in the virtual environment is equal in importance and requirements to conventional attendance, in line with the standards of the National eLearning Center.

Last updated: 10 July 2025

1. Scope of the Policy

This policy applies to all trainees enrolled in any of the programmes and training courses delivered by the Institute through its e-learning platforms (such as TutorLMS and Google Classroom).

2. Key Definitions

  • Synchronous attendance: is the trainee's actual, real-time presence at live lectures and sessions held via virtual classroom platforms (such as Google Meet or Zoom).
  • Asynchronous attendance: is the trainee's engagement with the recorded learning materials and activities available on the learning management system (LMS), including watching recorded lectures, taking part in discussion forums and completing the required assignments and tasks.

3. Attendance Requirements

  • Mandatory attendance rate: The trainee must attend at least 75% of the total training hours allocated to the course to be eligible for the programme completion certificate.
  • Minimum synchronous attendance: In programmes delivered in asynchronous online or blended mode, synchronous (live) attendance hours must make up at least 25% of the total programme hours.
  • Personal responsibility: Attendance and active participation are primarily the trainee's responsibility.

4. Attendance Monitoring and Recording

Trainee attendance is tracked and documented electronically to ensure accuracy and transparency, through the following mechanisms:

A. In Virtual Classrooms (Synchronous Attendance)

Attendance is recorded automatically by the virtual classroom system (Google Meet/Zoom) when the trainee joins and leaves, and the trainer or supervisor reconciles and confirms the attendance.

B. On the learning management platform (asynchronous attendance)

The system (TutorLMS/Google Classroom) tracks and documents all trainee activity, including:

  • Time and date of logging in to the platform.
  • Completion rate of recorded lecture viewing.
  • Taking part in discussion forums and the Q&A section.
  • Submitting assignments and assessments by their deadlines.

5. Absence and Excuse Policy

Excused absence

  • Only compelling excuses are considered (such as medical reports issued by accredited healthcare facilities).
  • The trainee must submit the official excuse to the Institute's administration within no more than two working days of the date of absence.
  • The Institute reserves the right to accept or reject the excuse after reviewing it. If the excuse is accepted, the period of absence is not counted towards the disqualification threshold.

Unexcused absence

Any absence for which an acceptable excuse is not submitted within the specified period is treated as an unexcused absence.

6. Consequences of Exceeding the Absence Limit

  • Withholding of the certificate: The trainee is disqualified from receiving the programme completion certificate if their absence (without an accepted excuse) exceeds 25% of the total training hours.
  • Non-refundable fees: If a trainee is excluded due to absence, they are not entitled to claim a refund of any fees paid for the programme.

Conclusion

Metropolis Legal Training Institute is committed to applying this policy to all trainees to ensure discipline and quality in the training process. Your commitment to attendance and active participation is a direct investment in your professional success and learning.
